We’re looking for an individual who can proactively work with the directors to anticipate their needs and proactively help them smoothly run the business. The role is to free the directors time from organising and administrative tasks so that they can spend their time strategically

Tasks include:

  • Assistance with diaries and acting as a first point of contact: dealing with correspondence and phone calls
  • Managing diaries and organising meetings and appointments, often controlling access to the manager/executive
  • Booking and arranging travel, transport and accommodation
  • Organising events and conferences
  • Reminding the manager/executive of important tasks and deadlines
  • Typing, compiling and preparing reports, presentations and correspondence
  • Managing databases and filing systems
  • Implementing and maintaining procedures/administrative systems - Timesheets
  • Liaising with staff, suppliers and clients
  • Collating and filing expenses
  • Office management
  • Miscellaneous tasks to support their manager, which will vary according to the sector and to the manager’s remit, e.g. completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research.


  • Confidence in using emails and folders, and knowledge of basic email etiquette
  • Confidence in attending and contributing to meetings and personal presentations
  • Great organisational skills
  • Competency in the use of MS Office: Word, PowerPoint, Excel, DTP
  • Understanding what PR is and what journalists do
  • Understanding of new media tools and how they are used – i.e. social media, blogs, podcasts, social networking etc
