RESPONSIBILITIES

  • Develop and implement office policies and procedures, working with HR to ensure compliance with health and labor laws.
  • Optimize and automate recurring office workflows and tasks to improve overall efficiency.
  • Manage facilities for HQ office, including cleaning, maintenance, and procurement of supplies and office equipment.
  • Source, negotiate with, and manage service providers, vendors, and contractors.
  • Budget, propose, and manage office installations, renovations, maintenance, and procurement/replacement of office equipment.
  • Schedule regular maintenance and maintain service records for all office equipment.
  • Manage office software and hardware including system maintenance, updates, subscriptions, and onboarding.
  • Support new hire planning and onboarding by managing seating plans, equipment procurement, software access, and subscriptions.
  • Collaborate with HR to plan and organize in-house or off-site employee engagement activities such as parties, celebrations, and team meetings.
  • Maintain office access procedures and keyholder logs.
  • Monitor and manage office supply, food, and beverage inventory including daily and event meal ordering.
  • Answer phones, serving as the first point of contact for partners, clients, vendors, etc, delivering high quality service and facilitating seamless communication.
  • Support special projects including corporate gifting.

 

REQUIREMENTS

  • Excellent time management skills and the ability to prioritize and manage multiple simultaneous projects with overlapping deadlines.
  • 1-2+ Years of related experience in office management, operations coordination, administrative assisting, or similar role.
  • Attention to detail and problem solving skills.
  • Strong organizational and planning skills.
  • Strong negotiation skills.
  • Self-starter.
  • Proficiency in Google Workspace.
  • Ability to reliably commute to our office in Los Angeles.

 

PHYSICAL REQUIREMENTS

The successful candidate must be able to perform the essential functions of the job with or without reasonable accommodation. This may require lifting and carrying up to 20lbs unassisted, sitting or standing for extended periods, and other physical activities associated with an office manager role.

This is a full time, exempt, position with a starting salary of $67,000 per year. Hours are 9a - 5:30p, Monday - Friday, with occasional work outside of business hours including weekends. The position is fully onsite at our offices in Highland Park.
